How do I change the status or storage of multiple inventory items at once?
You can change the status or the storage of many inventory items in one step, even for several hundred items:
- Select all inventory items you want to change in the overview table. The checkbox in the table header selects all filtered rows at once.
- Click “More” in the table header and choose “New status” or “Change storage”. A window with all selected inventory items opens.
- Remove individual entries from the list if needed. Removed entries are listed in the second tab, where you can add them back.
- Choose the new status (optionally with a date and a comment) or the target storage and, if you like, adjust the storage space per row.
- Click “Save”.
If custom inventory statuses are activated for your account, the “New status” selection also contains the custom statuses that apply to all inventory types in your selection. The “Status” column in the window shows the current status of each entry with its name. Learn more: How do I create custom inventory statuses?
Hints for individual entriesIf one inventory item in the selection fails the check, nothing is saved. Instead, the table in the window shows a “Hint” column with the reason directly in the row of the affected entry, for all affected entries at the same time. Typical reasons:
- The inventory item is assigned to a recipient and is supposed to be set to “Decommissioned”. The status can only be changed while the item is in storage.
- The inventory item is in a storage you are not authorized for.
- The inventory item or its storage has been deleted in the meantime or is not visible to you.
- A set contains deleted inventory items.
Remove the marked entries from the list and click “Save” again to change the remaining inventory items.
Good to know:
- Inventory items that already have the desired status are simply skipped when saving. They do not block the change of the other entries.
- The table in the window loads its rows while you scroll. The selection fields and “Save” always stay visible below it, even with thousands of entries.
- You can change at most 5000 entries per action. With a larger selection, a notice appears and the window does not open. Reduce the selection, for example with a filter.
- If the selection cannot be loaded, an error message appears. Reload the page and try again.
- Only administrators and warehouse managers who are responsible for both the current and the new storage can change the storage. Only storages you are responsible for are offered as the target.
