How can I import the last inspection date?

With the CSV import, you transfer the last inspection date of your inventory items into the system in bulk — and can optionally create the next inspection appointment at the same time. Here is how:

1. Download and prepare the CSV template

Download the provided CSV template. It contains the necessary columns and the correct format:

  • Inventory number (required) - identifies the corresponding inventory item in the system.
  • CurrentInspectionDate (required) - indicates when the item was last inspected and is updated in the system as the "Last inspection date".
  • NextInspectionAppointmentName (optional) - the name of the next inspection appointment, if available.
  • NextInspectionAppointmentDate (optional) - the date of the next inspection appointment. Together with the appointment name, a new appointment is created.

Here is what the rows of your CSV file could look like:

  • Inventory number 1001, inspection date 10.01.2024, next inspection appointment "Annual inspection" on 10.01.2025
  • Inventory number 1002, inspection date 15.09.2024, next inspection appointment "Safety inspection" on 15.09.2025
  • Inventory number 1003, inspection date 08.12.2024, without a next inspection appointment (optional columns remain empty)

Note: Do not change the column headers or the structure of the file. Only add your data to the template.

2. Upload the CSV file

  1. Go to the import section in Inventory ONE.
  2. Upload the prepared CSV file by clicking "Drop or select file" and choosing the file from your computer.

3. File validation

After uploading, the CSV file is first validated. The system checks whether the required fields are filled in correctly and whether the data formats meet the requirements (e.g. the date format DD.MM.YYYY).

If there are validation errors, they are displayed. Fix the displayed errors and upload the file again. Typical errors are:

  • Missing inventory number
  • Invalid or missing current inspection date
  • Incorrect date format in the next inspection appointment date

If the validation is successful, you can proceed to the next step.

4. Save the data

  1. After successful validation, click "Save data" to transfer the imported inspection data into the system.
  2. Then check the updated inventory in the system. The "Last inspection date" should be updated according to the data in the CSV file. If the optional fields "NextInspectionAppointmentName" and "NextInspectionAppointmentDate" were filled in, a new inspection appointment with the specified name and date was created.

Tips and notes

  • Use the provided CSV template to make sure the file structure is correct.
  • Pay attention to the correct date format (DD.MM.YYYY) to avoid validation errors.
  • Make sure the inventory numbers match the inventory numbers in the system exactly.
