How do I change the status of an inventory item?
You change the status of an inventory item in its detail view: select the desired status in the header via "Change status". Quantity inventory and consumables have the same selection field; for sets, you choose the status with the buttons in the header.
The following statuses are available:
- "Active"
- "Maintenance"
- "Lost"
- "Decommissioned"
Quantity inventory and consumables only support "Active" and "Decommissioned".
Custom statusesIf custom inventory statuses are activated for your account (Large package), the selection also contains the custom statuses that apply to the respective inventory type, for example "At the calibration lab". Archived statuses are no longer offered. The detail view shows the status as a colored badge with its name, and the history records every change with the name of the status.
What you are asked for when changing depends on the base status of the custom status: with base status "Maintenance" you can optionally enter the planned end date, with "Decommissioned" or "Lost" a date. Actions that the new status does not permit, for example assigning or reserving, disappear from the detail view. You can always change the status itself again, whatever the current status is.
To learn how to create custom statuses and define their permitted actions, see: How do I create custom inventory statuses?
Planned end date for "Maintenance"When you set an inventory item to "Maintenance" or to a custom status with base status "Maintenance", you can optionally enter a planned end date. The date is then shown in the detail view in brackets right after the "Maintenance" status.
You can adjust the end date at any time without changing the status again:
- In the detail view, click the displayed date or "No end date set" next to the status.
- Select the new date in the dialog. To remove the end date, clear the date field.
- Click "Save".
Every change is recorded in the item's history under "Changes" showing the previous and the new date.
The end date can be changed by administrators and by inventory managers who are assigned as warehouse staff to the item's storage. Everyone else sees the date as plain text.
