How do I conduct an inventory audit?

An inventory audit lets you count your stock and reconcile it with the data in the system. An audit runs in five steps: create, prepare, start, count, and complete.

1. Create a new inventory audit

Log in as an administrator, navigate to "Inventory" > "Inventory Audit", and click the "New Inventory Audit" button. Then enter the details of the audit:

  • Name: Enter a unique name for the audit.
  • Description: Explain the purpose of the audit.
  • Settings via checkboxes:
    • Withdraw inventory during the audit: Specify whether inventory may be withdrawn while the audit is running.
    • Scan or select inventory: Choose whether inventory items can only be scanned or also selected from a list.
  • Timeframe: Set the start and end dates of the audit.
  • Audit location:
    • Full audit — covers all storages and receivers.
    • Storage audit — only for specific storages.
    • Receiver audit — only for specific receivers.
  • Audit scope: Choose between inventory items, quantity inventory, or consumables.
  • Responsible persons: Specify who is responsible for carrying out the audit.
  • Audit helpers: Add the people who will perform the counting.

Finally, click "Save" to create the audit.

2. Prepare the audit

  1. Open the detail view of the audit.
  2. Assign the audit helpers the audit lists they will count later.
  3. Click "Finalize Audit" at the top right. The audit is now ready to be started.

3. Start the audit

Click the "Start Audit" button at the top right. The audit helpers can then begin with their lists:

  • In the app: Audit helpers see an "Audit" section in their overview. There, they select their list and start counting with "Start List".
  • In the web application: Open the audit list and click "Start Audit List".

4. Perform the count

  • In the app: Scan the items or select them manually from the list and enter the count results.
  • In the web application: Select individual rows and enter the count results.

After finishing the count, click "Complete Audit List" — this works both in the app and in the web application.

5. Complete the audit

Once all audit lists are completed, the responsible persons can close the audit:

  1. Prepare adjustment entries: Navigate to the relevant audit list, select the rows that need correction, and enter a booking note. Once all corrections are recorded, a green checkmark appears in the audit list.
  2. Complete the audit: In the web application, click "Complete Audit" at the top right. This automatically applies all adjustment entries and updates the stock levels accordingly.

The stock levels are now up to date, and the audit is fully documented in the system.
