How do I create a problem report?
With a problem report, you document damage or irregularities directly on the affected inventory item. Here is how:
- In the overview, click on the inventory item in question.
- In the detail view, navigate to the "Reported Issues" section.
- Click the "Create Problem" button.
- In the dialog, you can add a comment.
An open issue is marked with an orange dot and the status "Open". Clicking the issue opens the problem report as a group chat: on the left you see the history with all messages and photos – with the name, role and time of each person, your own messages on the right – and status changes as separate lines. At the bottom you write a message to everyone involved or attach a photo and send it with Enter or "Send". On the right, the sidebar shows the current status with the matching actions, the list of participants and the details (reported on, reported by, solved by).
Once the issue is fixed, click "Mark as solved" in the sidebar. The issue is closed, the status changes to "Solved" and the dot turns green. If it later turns out that the issue still exists, you can set a solved report back to "Open" with "Reopen".
Deferring a problem report
If an issue is not going to be fixed for the time being – for example because a vehicle will wait until its next inspection, or because the damage does not limit its use – you can defer the problem report:
- Open the problem report in the "Reported Issues" section.
- Click "Defer" in the sidebar.
- Optionally enter a reason or note, such as "until the next inspection", and confirm.
The report gets the status "Deferred" (grey dot) and disappears from the current problem reports: it is no longer shown on the dashboard or as the "Current problem report" of the inventory item, and it is left out of the "Open problem reports" report. It is neither deleted nor resolved, though: it stays visible with its full history and all comments in the "Reported Issues" table of the inventory item or set, and under Reports you find all deferred reports collected in the "Deferred problem reports" report. The history of the report records who deferred it, when, and for what reason.
You can keep commenting on a deferred report at any time. "Reopen" brings it back into the current problem reports, and "Mark as solved" closes it directly if the issue has been fixed in the meantime.
Deferring and resuming is available to everyone who may also resolve problem reports (permission "Manage Issue Reports"). An inventory item with a deferred report can still be booked; no warning about open problem reports is shown for it.
When a report is closed, everyone involved is notified automatically: the person who reported the issue, everyone who commented or changed its status, and the people assigned to the inventory item's storage. The notification arrives as a push notification in the app and additionally by email if email notifications for problem reports are enabled in the user settings. It names who closed the report, the affected inventory item and the original message, and links directly to the inventory item. Whoever closes the report does not receive a notification about their own action. This applies to closing on the web and in the app alike.
Even after an issue has been closed, you can open the problem report and add further messages or photos – for example for follow-up questions or notes on the repair. The report stays closed, and everyone involved is notified about the new comment. This works both on the web and in the app.
