How do I enter an inspection result?
Once an inspection has been carried out on one of your inventory items, you record the result directly on the item. Inventory ONE documents the inspection in an audit-proof way and automatically calculates when the next inspection is due.
Prerequisite
To record an inspection result, an inspection template must be assigned to the inventory item. The assignment happens via the item's category. If no template is set up yet, first create it in the system settings and assign it to the appropriate category.
Step by step
- Open the inventory item - Navigate to the item you want to record the inspection result for and open its detail view.
- Enter the inspection result - Click the "Enter inspection result" button.
- Fill in the details - Complete the fields for the inspection that was carried out:
- Date - when the inspection took place
- Result - the inspection result (by default passed / failed, depending on the inspection template)
- Comment (optional) - e.g. defects found or notes on the inspection
- Inspection report (optional) - a PDF as proof, such as the inspector's protocol
- Save - Confirm your entry. The result is now stored on the item.
What happens after saving
Based on the inspection interval stored in the inspection template, Inventory ONE automatically calculates the next due date. You do not have to schedule the next inspection manually. As the date approaches, the inspection appears on the dashboard and in the reports as upcoming or overdue.
All recorded inspection results remain documented on the item. This lets you trace the inspection history at any time and provide complete proof in case of an audit or insurance claim.
