Where do I find procedure logs and how do I download them as a PDF?

Every completed procedure is saved as a procedure log. This gives you audit-proof evidence at any time of who carried out which procedure, when, and with which results — for example for handovers, condition checks, or documented inspections.

Open a procedure log

You'll find procedure logs in the history of the inventory item on which the procedure was carried out:

  1. Open the detail view of the inventory item.
  2. Switch to the history.
  3. There you'll see entries such as "Procedure completed" or "Procedure cancelled" — with the date and the person who carried it out.
  4. Click "View results" on the desired entry to open the log.

Contents of the log

The procedure log shows:

  • Name and description of the procedure as well as the start date and end date of the execution, plus the person who completed or cancelled the procedure (Performed by)
  • The inventory information configured in the procedure (e.g. display name, serial number, inventory number)
  • For procedures that belong to a booking (a mandatory procedure on issue or return, whether booked directly or accepted via notification), the Booking block with booking type and side (sender or receiver), sender, receiver, storage, and booking date — for quantity inventory and consumables also the booked quantity with its unit, for sets the inventory items they contain. Manually started procedures without a booking have no booking block
  • All steps with their status ("Completed" / "Not completed") and the recorded values
  • Signatures as an image, uploaded documents, selected inspection results, status changes, storage transfers, and completed reminders

For a cancelled procedure, you see the state at the time of cancellation — no changes were applied to the inventory item.

Download as a PDF

In the opened procedure log, click "Download PDF". Inventory ONE generates a PDF with the inventory information, the booking data (if the procedure belongs to a booking), all steps, the recorded values, and the signatures — ideal for filing, audits, or sharing with third parties. The steps are numbered consecutively in the PDF, and signatures are printed legibly at their original size.

The top of the PDF shows your company logo if you have stored a Logo for documents (PDF) in the Custom logo section of the system settings. Otherwise, the default logo appears.

Good to know

  • The results produced by a procedure can also be found directly on the inventory item: inspection results on the item or in the inspection overview, uploaded documents among the item's documents, status changes and transfers in the history.
  • The procedure log is not to be confused with the handover protocol, which is generated when inventory is assigned.
  • In the mobile app, procedures are carried out; those responsible view the logs in the web application.
