How do I assign a GPS tracker to an inventory item or set?
A GPS tracker from your Telematic ONE account shows you where an inventory item or set currently is. You assign it in the tracker overview under Administration → Trackers.
Requirements- The telematics integration is booked for your account and set up in the system settings (see How do I connect Inventory ONE to Telematic ONE?).
- Your role has the permission "Manage telematics connection" in the "Telematics" area, so that you see the tracker overview under Administration, and "See trackers and locations" with the level "All", so that you also see trackers that are not assigned yet. To assign and remove trackers you also need "Assign trackers" and the permission to edit the inventory item or set concerned.
- Open Administration → Trackers. Unassigned trackers show "unassigned" in the "Assignment" column; use the column filter to narrow the list down to them.
- Select the tracker's row and click Assign tracker at the top of the table.
- A panel opens with the list of your inventory items and sets, just like for reservations. Narrow the list down with the search or the column filters, for example by type, name, inventory number or storage, and select the row of the inventory item or set you want.
- Click Assign tracker at the top of the table.
The list only shows inventory items and sets; quantity inventory and consumables cannot carry a tracker. A tracker can only be assigned to one inventory item or set at a time. If it has been assigned elsewhere in the meantime, you get a message. A inventory item or set can carry several trackers.
Removing a trackerIn the tracker overview, select one or more assigned trackers, click Remove assignment at the top of the table and confirm. The assignment ends. The tracker remains in Telematic ONE and is immediately available for another inventory item.
Trackers on the detail pageOn the detail page of an inventory item or set, assigned trackers appear in the QR codes and NFC tags table as rows of the kind "Tracker" with name and identifier (IMEI). Status and position are shown in the Location section of the same detail page; it appears as soon as at least one tracker is assigned. Employees with the level "Own" only see the trackers on inventory assigned to them.
Tracker mapThe Location section (between inspections and documents) shows the current position of all assigned trackers on a map. It is only shown when the telematics connection is set up and at least one tracker is assigned to the inventory item or set; without a tracker, the section and its entry in the side menu are not displayed. The marker colour shows the status (green online, orange last known position, grey offline), a circle shows the accuracy when it is 30 metres or more. The position refreshes every minute. If an inventory item has several trackers, pick the tracker with the buttons above the map.
With the period selection (today, 24 hours, 7 days, 30 days or a custom range of at most 31 days) you load the movement history of the selected tracker. The map draws the path with start and end, and a table below lists the ten most recent reported positions with time, speed and accuracy. If there are more positions, Show all data opens an overview with every position of the selected period. Clicking a row jumps to that position on the map. As long as Telematic ONE does not provide a movement history yet, the map only shows the current position and hides the period selection. For older periods Telematic ONE delivers the history in hourly resolution; the map then says so below the heading. Position data is never stored in Inventory ONE; it is always loaded live from Telematic ONE.
If Telematic ONE answers with an error or is temporarily unavailable, the message appears directly in the Location section or below the map; the rest of the detail page stays usable as usual. The same applies to the tracker overview and the map on the dashboard.
Map on the dashboardAt the top left of the dashboard, a map block shows all trackers you are allowed to see. The colour of a point shows the status (green online, orange last known position, grey offline), the shape the assignment (circle for inventory item, rounded square for set, dashed border for unassigned trackers). From 50 trackers on, nearby points are grouped with a count; clicking a group zooms in. The fullscreen button at the edge of the map opens the map full screen. Clicking a point shows, next to the map, a button with the name of the assigned inventory item or set that opens its detail page, below it the tracker name, when the tracker was last seen and the accuracy of the position. Trackers can only be assigned in the tracker overview, not on the dashboard. The map refreshes every minute; employees with the level "Own" only see the trackers of inventory assigned to them.
History and change logEvery assignment and removal appears as an event "Tracker assigned" or "Tracker removed" in the history of the inventory item or set, each with the tracker's name and identifier. In the change log you see the list of assigned trackers before and after the change under "Trackers".
If you retire or delete an inventory item or set, its trackers are released automatically. When retiring, this appears in the history as "Tracker removed" with the note "Inventory retired".
